Rental Terms & Agreement
Last updated: 2026. By booking Bayou Road Commons, you agree to these terms.
1. Payment Terms
A 40% deposit is due upon booking confirmation to secure the date. The remaining 60% balance is due 14 days prior to the event. Payments are processed securely via Stripe. All bookings are subject to applicable taxes and fees.
2. Cancellation & Refunds
The 40% deposit follows a tiered refund policy based on how far in advance the cancellation is made: cancellations more than 30 days prior to the event receive a full refund of the deposit (minus processing fees); cancellations 14–30 days prior receive a 50% refund of the deposit; cancellations less than 14 days prior forfeit the deposit. Any balance payments already made beyond the deposit are refundable under the same tiers. No refunds for no-shows.
3. Overtime Fees
Bookings extending past the contracted end time will be billed at 1.5× the hourly rate, in 30-minute increments. Overtime must be approved by venue staff.
4. Damage Responsibility
Renter is fully responsible for any damage to the venue, fixtures, equipment, or furnishings caused by themselves, their guests, or their vendors. Damages will be invoiced separately after the event.
5. Cleaning Requirements
A standard cleaning fee of $150 is included. Renter is responsible for removing all personal items, decorations, food, and trash from the venue at the conclusion of the event. Excessive mess may result in additional cleaning charges.
6. Capacity Limits
Maximum capacity is 100 guests. Renter is responsible for ensuring guest count does not exceed this limit at any time. Exceeding capacity may result in immediate event termination without refund.
7. Prohibited Activities
No illegal activities, smoking indoors, open flames (except approved candles), confetti, glitter, or fog machines without prior written approval. Nails, screws, or staples in walls are prohibited.
8. Noise & Time Restrictions
Music and amplified sound must comply with City of New Orleans noise ordinances. Outdoor music must end by 10:00 PM. All events must conclude by the contracted end time.
9. Vendor Guidelines
Outside vendors are welcome and must be communicated to venue staff in advance. All vendors must follow our load-in/load-out procedures. Renter is responsible for vendor conduct.
10. Mutual Liability Waiver
Each party assumes responsibility for injuries, accidents, or losses caused by their own actions, guests, vendors, or personal property. Bayou Road Commons is not liable for injuries or losses caused by the renter, their guests, or their vendors. The renter is not liable for injuries or losses caused by Bayou Road Commons' own negligence, unsafe premises, or failure to maintain the venue.
11. Indemnification
Each party agrees to indemnify and hold harmless the other party, its owners, employees, and agents from claims, damages, or expenses arising from their own negligence, actions, or breach of this agreement. Bayou Road Commons indemnifies the renter for claims caused by the venue's own negligence or failure to maintain safe premises. The renter indemnifies Bayou Road Commons for claims caused by their event, guests, or vendors.
12. Right to Terminate
Bayou Road Commons reserves the right to terminate any event in progress for safety violations, capacity violations, illegal activity, or significant breach of these terms — without refund.
13. Shared Responsibility
Bayou Road Commons is responsible for maintaining the venue in a safe and usable condition. The renter is responsible for supervising their guests and vendors and ensuring the event proceeds safely. Each party is responsible for their own property and for promptly reporting hazards or damage to the other party.
